Initial and Monthly Payments:

The first payment which is done manually must be received 24 hours prior to the student’s first session to secure their time with their tutor. After the first payment is placed, following payments will be charged monthly thereafter on the 20th of the month for the next month’s scheduled lessons. If a student starts in the middle of the month, that month’s amount will be prorated. Your particular monthly tuition will be disclosed to you in a separate individual email along with the tentative schedule.

Automatic Payments:

All clients are on autopay where the same amount is charged on the 20th of each month for the next month’s scheduled sessions to the debit or credit card saved on file. The card on file can be updated through our online portal (this link will be on all invoices as well) or you can call us and we can change your default card. Receipts will be sent to the email(s) on your account. Any additional sessions scheduled during the month will be charged to the card on file as early as 24 hours in advance.

You authorize regularly scheduled charges to your debit or credit card(s). You agree that no prior-notification will be provided unless the date or amount changes.

If the credit card information on file is denied or expires at any time, you agree to provide updated credit card information within three days of receiving notification from our office. You certify that you are an authorized user of the card(s) on file and will not dispute these scheduled transactions with your bank or credit card company; so long as the transactions correspond to the terms indicated in this agreement. Horizon Star Tutoring Co. reserves the right to discontinue services in the event that updated credit card information is not provided in a timely manner.

If you ever have any questions regarding payment, please contact us directly and we will be happy to help.

Changes to Payment Plans

We are able to cancel payment plans, add credit to accounts, change the card on file and pause plans through our system if the need arises. This runs very smoothly as the tutors and company managers communicate regularly and communicate with the clients as well.

Refunds

We do not offer refunds. However, we do offer make ups and credits toward future payments in alignment with the terms stated in this agreement.

Attendance/Cancellation Policies:

Purchasing private tutoring reserves the time slot (day and time) with the designated professional tutor. As such, all tutoring sessions will be scheduled prior to the start of the program, at times mutually agreeable to all tutoring clients and the Horizon Star tutor(s).

Cancelling Scheduled Sessions:

Once tutoring sessions are scheduled, students or parent(s) are responsible for canceling scheduled tutoring sessions at least 24 hours in advance of the scheduled tutoring time and said requests must be made by directly contacting the tutor assigned to the session or the company owner.

Late Cancellations or No Shows

If a student or parent does not cancel a scheduled session at least 24 hours in advance or no-shows for any reason (including illness, crisis, or emergency), he or she will be charged in full for that session. If students do not attend any scheduled session(s) that were paid for and not canceled with notice, they are not entitled to a credit or make-up session. The decision to do so is left to the company owner and/or tutor’s discretion. We understand that things happen and try to be considerate of that. However, we ask that our clients respect the time set aside for them or their child.

Make Up Sessions

If a session is canceled at least 24 hours in advance, you/we can set a time with your tutor to schedule a make up session. If this is not possible, we will add a credit for the session to your account that can be applied to your next monthly payment. Clients will have 30 calendar days to schedule the make-up. Please note that make-up sessions (or credits) will not be issued beyond the second cancellation initiated by the parent or student in a given month.

Additional Sessions or Make Ups

Additional sessions or make up sessions scheduled within 24 hours of the appointment date are final and may not be canceled or rescheduled.

Last Minute Scheduling Requests:

A rush fee of 50% for sessions scheduled with less than 6 hours notice or during after-hours may apply. This applies to sessions scheduled for exam time, midterms, finals, last-minute projects or assignments etc.

Schedule Changes

If the tutoring schedule is changed or if days are added or decreased due to scheduling conflicts etc., tuition may be recalculated. However, we will not change the tuition mid-month. The new rate will be active the following month. This is most common in the summer as students may have scheduled vacations, camps etc and our tutors may as well. During the summer we may switch a family to a pay as you go (or similar) model for this reason. This will be discussed the month before summer break.

Late Arrivals

If you or your child will be late to a session, please let your assigned tutor know. Our tutors wait 15 minutes before they consider a session cancelled. If your tutor is aware, they can wait for you to arrive or log on. However, If a student is late to the session the set end time will still stand.

On rare occasion, an unexpected event beyond his control may cause the tutor to arrive late to a session. In this case, the tutor may extend the tutoring session to allow for the full prearranged time or add the missed time to a subsequent tutoring session.

Sessions Cancelled by Tutor

If your assigned tutor is sick or must reschedule or cancel for any reason, we will give a make up for each session. You will typically receive 48 hours notice from a company manager or your tutor if a cancellation or reschedule is necessary. If a make up is not possible we will issue a credit to your account for the corresponding sessions. This credit will be deducted from your next monthly payment automatically.

Holiday Closures

We are closed on most national holidays and federal holidays. That means that we give students those days off as well. Each clients tuition is calculated to exclude these days. We notify clients before each of these days/ breaks to ensure that they are aware and have the correct schedule. If you and your tutor decide to meet on one of these days, please let us know and we can charge for the session separately. If there are sessions that fall on a holiday that we do not have written below, but the library or public meeting place is closed on that day we will schedule a make up or credit your account for that session. Expectations (Students, Parents and Tutors)

  1. Commitment

Tutoring is a commitment that requires regular attendance and consistent participation to yield optimal results. We kindly request that both the student and the parents/guardians ensure punctuality and prioritize attendance in all scheduled tutoring sessions.

  1. Duration of Commitment

We understand that effective tutoring requires consistency and dedicated effort. Therefore, we require a minimum commitment of three months from families. This timeframe allows both the tutor and the family sufficient time to observe significant improvements in the student's academic performance.

Expectations for the Academic Year

With all of our students there is the expectation that we will be working together for the full academic year. We acknowledge that our collaboration is intended to be long-term, spanning the entire academic year. By entering into this agreement, we commit to providing consistent support and guidance to your child throughout the year.

Student Expectations

Students are responsible for supplying their own paper, pencils, pens, etc. Students should also have any assignments or homework ready if the session is during the school year. If tutoring is taking place during summer, winter, or spring break your tutor will supply coursework that they put together for the student. In some cases, homework will be assigned by your tutor. However, this is usually when students are out of school or if they are not assigned homework from school. We do not believe in assigning additional homework to students during the school year as it takes away from the time they can be mastering the covered concepts. Your tutor may however give activities to work on outside of tutoring to supplement learning (ex. videos, apps, games, flash cards, etc.) We expect these to be done as much as possible.

For test prep or fundamental skill tutoring (reading, reading comprehension, math basics etc) the assigned tutor will provide all in-session resources and instruct students and parents on materials to buy or activities to practice at home

Tutoring is teaching and includes time for practice but is not a substitute for studying. Mastery of any subject requires dedicated study time. The students who achieve their personal best in Academic classes devote the necessary time to study what is covered during the tutoring session until they master the material.

Parent Expectations

At Horizon Star Tutoring Co we believe that the student’s parent(s) are a key component to success. They are there to support their child and offer words of encouragement along the way. Students will have tough days and will need someone to confide in. In addition, your tutor may give activities for you to work on with your student as certain skills need to be practiced daily (ex. multiplication tables, reading practice, sight words, flashcards, etc.)

Parents do not need to be present during tutoring sessions. However, parents can remain nearby as long as they are out of eye sight of the student. This is most important for younger students as they will have to get used to looking to their tutor for help during their time together.

Lastly, we believe in open communication. If something concerns you, please speak to your tutor and/or your academic advisor as soon as possible. We are here to make you and your student’s life easier.

Technology Requirements

If your student will be doing online tutoring we ask that they have the following:

A laptop or desktop with the latest Chrome browser

A mouse (preferably wireless) as they will be using a digital whiteboard

A headset, especially if they have siblings or pets

A stylus if they have a touch screen computer or tablet/iPad

A personal size whiteboard, expo marker and eraser (optional)

Evaluation

As dedicated tutors, we strive to monitor and assess the progress of each student diligently. We will regularly communicate with parents/guardians to discuss the student's development, highlight areas of improvement, and address any concerns that may arise during the tutoring sessions. We send out session reports after each session to give updates on student progress, things that need to be completed, and next steps. If you have any further questions about your child’s progress, please reach out to your child’s tutor.

Tutor Expectations

We are a team of passionate tutors who go above and beyond to form lasting relationships with our clients and to make not only an impact on their grades but their lives. We believe that a student learns best when they are being taught by someone they both like and trust...someone who takes the time to get to know them not only as a student, but as a person. Your tutor will hold a degree and have years of experience in working alongside students of all ages (K-College). We are confident that we will be able to produce consistent results with your scholars through our tutoring. Along with tutoring we work on transforming a student’s confidence and mindset towards learning.

We believe that it’s the transformation in mindset and confidence that comes with the better grade that lasts a lifetime.

Here are our core values:

  • Let passion lead

  • Communication is key

  • A positive mindset changes everything

  • We are not afraid to make mistakes, that’s how we grow

  • Always be willing to learn from others.

  • Be persistent. Never give up.

  • Do the right thing even when no one is watching.

  • Shoot for greatness, not just the expected

As part of conducting the highest quality programs with every student, Horizon Star’s tutors may end each session 5 minutes before the appointed finish time. This is so they can update each student’s goals, prepare parent update communication, and identify the best session materials for the following meeting with that student. If a student is late to the session the set end time will still stand.

You will receive their information through a text. If you are not assigned a specific academic advisor then the company owner will act as one for you.

We respond to communications from families as soon as we can. This usually means within an hour or so. After 8pm we may be unavailable to respond to communications, but will reach out to you as soon as possible. This is typically by the next morning.

Open and effective communication is vital for the success of our tutoring partnership. We encourage parents/guardians to promptly notify us of any changes in scheduling, academic concerns, or other relevant information that may impact the student's progress.

Horizon Star Tutoring Co does rely on word of mouth referrals. So if you know anyone who could benefit from our tutoring service, please send them our way. We would really appreciate it.
